The following policies govern Sansom Place Guest Accommodations, located at Sansom Place East, 3600 Chestnut Street, Philadelphia, Pennsylvania 19104, and are administered by Conference Services, a division of Business Services at the University of Pennsylvania. These policies and rates presented below will be valid through June 30, 2008. Please read these items as well as the Occupancy Agreement carefully before submitting an application. Description
The University of Pennsylvania offers a varied, but limited amount of accommodation options for short term and extended stay use. Amid the University of Pennsylvania campus, all options are centrally located in a seasonally air-conditioned, carpeted, high-rise graduate student residence hall with on-site coin-operated laundry facilities. Included in all accommodation categories are:
- Basic bed and bath linens,
- Television with complimentary cable,
- Complimentary telephone with on-campus and Philadelphia phone service. (Guests must use a toll-free calling card to make long distance calls and can provide an answering machine should they choose),
- For stays longer than a month, a mailing address at Sansom Place East is provided.
Single Rooms
Private bedroom with one twin extra-long size bed that shares a bathroom with one other private bedroom. Another guest of the same gender occupies the adjoining bedroom. Also comes with a microwave/micro fridge.
Private Apartments
One-bedroom apartments with two twin extra-long size beds, a private bathroom, and living space with a kitchenette, including a microwave.
Guest Suites
One-bedroom apartments with one queen or two twin extra-long size beds, a private bathroom, and living space with a kitchenette. Dishes, kitchen utensils, and some small appliances are included. Light housekeeping services are provided for the Guest Suites on a weekly basis, including dusting, vacuuming and a fresh set of linen to make your stay even more comfortable.
Elegibility
Guest Accommodations are available for use by official visitors and guests affiliated with the University. Visiting researchers, scholars, consultants, and new appointees meet this eligibility requirement. In order to stay in the guest accommodations you are required to have a Penn Sponsor. This sponsor is not required to pay for your stay, but may do so by providing a budget code. Your sponsor is required to fax us a letter confirming your affiliation and dates of stay. This letter should be faxed to 215-573-8452. Please note that your application will not be reviewed until we have received your letter.
Reservation Process
Availability and reservations are confirmed upon receipt of a completed web application (which implies understanding of these Polices and Procedures as well as the terms of the Occupancy Agreement), sponsorship letter, and deposit. Submission of an application does not guarantee your placement into the Guest Accommodations. Reservations are deemed definite only upon your receipt of a confirmation email generated by Conference Services. A rental period can be extended based on availability. Although we try to meet guests' requests, specific room categories are based upon availability and are not guaranteed.
Terms of Residence
Guest Accommodations are available for a minimum of one week, (the general length of stay is a few months) and are subject to a mutually agreed upon departure date at the time of application. Check-in is scheduled between 10:00 a.m. and 4:00 p.m. on date of arrival and check-out is scheduled for 10 a.m. on your departure date. Special arrangements for check-in/out can be made in advance with Conference Services if arranged at least three business days in advance.
Deposits/Rent Schedule/Cancellation/Early Termination
The deposit, which must accompany the application, is two full months rent or the full payment for stays shorter than two months. This deposit holds the room and is eventually applied towards the first and last month's rent of the guest's stay. Thereafter, rent is due on the 15th of every month for the following month. For occupancy of any part of a week, a full week's rent will be charged.

Acceptable forms of payment (USD) include: International Postal Money Order, University Journal Entry, checks drawn from a U.S. bank, traveler's checks, wire transfers, credit cards, or cash. Checks, money orders and traveler's checks are to be made payable to Trustees of the University of Pennsylvania and mailed to Conference Services, Stouffer Commons, 3702 Spruce St., Philadelphia, PA 19104-6027.
All applications must include a credit card number in the event of a cancellation. For more information on cancellation policies please see the Occupancy Agreement (pdf).
Please note:
- All guests are required to have a PennCard to gain entrance to Sansom Place East. The cost for one PennCard is $25. The sponsoring department typically provides the necessary documentation and payment for the PennCard; should it not, Conference Services can provide the necessary documentation, but the guest will have to provide the payment.
- There is an additional $35 bank-imposed fee for wire transfers. (Please contact Conference Services prior to initiating a wire transfer for instructions and the appropriate account number.)
- $35 will be applied to your account for checks written against insufficient funds.
- Sponsoring departments will be held liable for payment after 2 months of non- payment from tenant.
Restrictions & Occupancy Agreement
Guests in Sansom Place Guest Accommodations are subject to terms and conditions of these Policies and Procedures as well as the Occupancy Agreement (pdf). All residents must follow the terms listed therein.
Occupancy is limited in the Single Rooms to one adult and in the Private Apartments and Guest Suites to two adults. Due to the academic nature of Sansom Place, no children or pets are permitted. Persons with a disability and requiring a dog with them to live independently are the only exception to this policy.
The University of Pennsylvania does not permit smoking of any kind inside its residences or within 20 feet of their doors or windows.
